The term “Guest(s)” is defined as any person with a confirmed reservation at Professional Golf Travel (regardless of whether  or not a signature appears below).  The term “PGT” as used herein refers to Professional Golf Travel.  The term “Supplier” is defined as any provider of lodging, golf, rental car or any other service contracted by PGT on behalf of the guest.  Guests holding a confirmed reservation expressly agree to and accept all PGT policies. Please read this agreement in full.  Updates to these policies can be found at www.professionalgolftravel.com, as these will also apply.  Guests making a reservation as part of a group or on the behalf of a group accept full responsibility for the terms and conditions as stated below for each member of said group.

 

RESPONSIBILITY: The responsibility of PGT and/or its agents is limited.  PGT acts only as an agent for its guests in regards to travel.  PGT assumes no liability for injury, damage, loss, accident, delay or irregularity which may be occasional either by reason of defect, through acts of God or nature, war, fire, breakdown in machinery, riots, strike or from any cause beyond the control of PGT.  Travel services including golf tee times, transportation and lodging are furnished by independent contractors (suppliers) and do not act for or on the behalf of PGT.  The acceptance of travel arrangements is deemed to be consent to the above.  PGT is not liable or responsible in any way whatsoever for any act, error or omission or for inconvenience, loss, damage, injury or death arriving out of tour arrangements.

DAMAGES: Guest is responsible for any property damage, accident/injury to any person or loss sustained by any person (including loss of money, jewelry and other items of personal property) arising out of or in any way related to Guest use of a supplier’s premises, services or products.

LODGING: PGT will make every attempt to accommodate specific unit requests.  PGT does not guarantee specific units, levels or views.  All reservations include base room rate and applicable taxes.  Additional parking, resort and/or other fees may be required by certain lodging suppliers and are the responsibility of the guest. Lodging rates are valid and agreed upon at the time of booking; no refunds or adjustments are made based on coupons, specials or any other promotion offered by the supplier.

GOLF:  All golfers must check-in at the golf shop 30 minutes prior to scheduled tee time.  Tee times missed due to late arrival, travel delays, weather delays or for any other reason will not be refunded.  Once play begins no refunds will be given by PGT, all rain checks must be issued by the golf course directly.  Rain check value is determined by the golf course and has no cash value with PGT.  Refunds may be issued in the event of cancellation of play by the golf course.  Rain or inclement weather does not constitute cancellation of play unless the golf course closes.  All golf courses require proper attire – collared shirt, slacks or Bermuda length shorts.  No metal spikes, no t-shirts, no cutoffs and no denim are standard requirements.  PGT is not responsible for guests being denied access to any golf course due to non compliance with dress codes, behavior or any reason deemed suitable by the golf course.  Golf rates are valid and agreed upon at the time of booking; no refunds or adjustments are made based on coupons, specials or any other promotion offered by the supplier.

VEHICLES: Reserved and/or unreserved parking may be provided to Guests.  Parking fees may be required by some lodging suppliers. Vehicles parked in unauthorized spaces and illegally parked vehicles may be towed at guest’s expense.  PGT is not responsible for towed vehicles.  Rental car gas, tax, insurance and upgrades are not reserved through PGT and are the responsibility of the Guest.
 

PAYMENTS

DEPOSIT:  A standard deposit of $100 (U.S.) per golfer is required to confirm a reservation, however, deposit amounts may vary depending on group size, accommodations or golf courses selected.  For reservations booked within 14 days prior to arrival, full payment of the balance is due at the time of reservation.  No travel services will be booked or confirmed without receipt of deposit. 

BALANCE DUE:  Final payment of the remaining balance is due 14 days prior to the date of arrival. PGT accepts Visa, Master Card, American Express, Diners Club, Discover, personal or corporate check, money order or cashier’s check.  Groups of twelve (12) or more golfers or reservations totaling $10,000 or more require payment in full 30 days prior to arrival date by personal or corporate check, money order or cashier’s check only.  All reservations require a major credit card on file. Returned checks are assessed a $50 fee and all future payments will be required on credit card or with cashier’s check.  

LATE CHARGES:  PGT cannot guarantee any reservations not paid on time.  In some instances, PGT is required to release rooms and/or tee times back to the supplier when not paid on time.  Late charges will be 5% of the reservation per day, until paid in full.

 INCIDENTALS:  Guests must provide a valid credit card to the lodging supplier for incidentals at the time of check-in.  Unless otherwise stated, lodging provided by PGT includes room and tax only.  Any and all incidental charges incurred during the duration of the stay are the responsibility of the Guest. Incidental charges may include (but are not limited to) mandatory resort fees, food and beverage, transportation or parking fees.

CANCELLATIONS & CHANGES

All cancellations must be received by PGT in writing.  Any reservation requiring a group contract or special cancellation policies based on the lodging, golf or services supplier will be made available to the guest and will apply in place of the policies below.

CANCELLATIONS:

Cancellation Policies For Groups of 11 Players or Less

                              15 or more days prior to arrival date               $100 fee per player

                                4 – 14 days prior to arrival date                       50% of the reservation

                                 Within 72 hours of arrival date                          100% of the reservation

Cancellation Policies For Groups of 12 Players or More

                                  31 or more days prior to arrival date                    $100 fee per player

                                  30 days or less prior to arrival date                      100% of the reservation

CHANGES:  Changes to a confirmed reservation regarding lodging, golf, rental car or activities may be made on a space available basis and will incur a $15 per item change fee.  Additional players/travelers may be added on a space available basis.  Rates originally quoted or booked may or may not be valid at the time that changes/additions are requested.  Golf fees and activity fees are non-cancelable but are subject to individual golf course policies, including but not limited to inclement weather and late arrivals.  Certain deposits for scheduled activities and service fees are non-refundable in the event of a cancellation.  Golf tee time reservations for groups of twelve (12) or more are non-refundable within 30 days of arrival date.  Merchant services disputes resulting in a decision in favor of PGT will be assessed a $25 fee.

EARLY DEPARTURES, LATE ARRIVALS, UNUSED SERVICES: There will be no refund for early departures, late arrivals or unused services including, but not limited to: lodging, golf, activities or rental cars. 

TRAVELERS INSURANCE: PGT strongly recommends the use of Travelers Insurance for all reservations, please visit our website or call a PGT representative for additional information.

This agreement is the entire agreement between parties. PGT representatives have no authority to waive, revise or terminate this agreement. If any portion of this agreement is determined to be invalid, the remainder shall be effective and remain in full force. The terms, conditions and provisions of this agreement shall be governed by and construed in accordance with the laws of the state of Arizona.  Providers agree to reimburse PGT for any and all attorneys’ fees and costs associated with enforcing any provision of this agreement.  If you would like details regarding these or any policy and guest service provided by PGT, please call a PGT representative at toll free 1.888.991.5950.
